Business Services
Scenario Requirements:
Generally, service and hospitality management systems require that customers sign service forms upon completion of service. Typically, the counter operator will initially open the hospitality management system. If necessary, will then use the ID card reader to read the applicant's ID card information for verification and retrieve, or enter, the applicant's information. Once the business content is verified, the attendant will print the business processing form or agreement contract for the applicant to sign and stamp. Finally, copies of the relevant certificates and scans of the electronic file of all relavent information is archived.
The entire process requires printing paper documents, signing and stamping, and copying certificates. Finally, the signed paper documents and copies must be manually archived and stored in a storage space that meets the environmental standards for long-term storage.
Solution Design:
Whether it is a client server (C/S) architecture or a browser server B/S architecture, the software can be redeveloped through SDK to adapt to HANVON UGEE paperless office equipment. The display, or pad, device is connected via a USB cable to the computer host. The counter clerk's operating system sends the electronic contract, agreement or electronic form to the signature pad for the client to browse. After the client confirms it, he, or she, can click the screen button to pop up the signature window. Upon signing, the confirmation button will capture the signature. The signature handwriting is inserted into the designated location of the electronic document in the form of an image and saved in the system. In parallel, ID card or photo information can be captured and archived. Signature capture electronically contributes to a comprehensive paperless and digitalization approach throughout the process.
For a direct customer interaction with electronic forms, a 10.1" signature display is an excellent option. As many workflows are increasingly demanding additional information capture, the product can be expanded to include various biometric modules, such as; fingerprint scanner, ID card reader, camera/high-speed scanner. Addionally, the signature display has its own sound card and speaker, which may be considered for use in advertising and communication efforts in the interaction with the customer.
Solution Advantages:
The traditional customer facing work-flow can be inefficient and labor-intensive with numerous in-direct costs associated with the handling and mantenance of paper documents. Through the use of biometric signature capture, the existing workflow can be transformed into a paperless workflow which is more efficient with a high level of document governance resulting in an improved customer experience as well as reduced cost and risk to the business workflow.
